What you'll set up
A contract price sheet tells Cloptima what you really pay per model. Reports then show contracted cost instead of list price, and the Dashboard shows an effective cost that matches your invoice.

Owners and admins approve price sheets. Contract rates apply to usage on your own provider keys.

How effective cost is built
The Blended Effective Cost card on the Dashboard builds your cost in layers, so you can see where each saving comes from.

Models with no contract rate keep their list price, and the card warns you which models are missing a rate.

Gather what you need
Have these ready before you open the wizard. A contract usually has all of them.
- The provider and the model the rate applies to
- Your price per million input and output tokens
- Any separate rate for cached, reasoning, or special tokens
- The contract start date and end date
- A contract reference and an owner on your side

Open the price sheet wizard
The wizard walks you through four steps: Scope, Rates, Owner & expiry, and Preview & save.

Open the Dashboard
Go to AI → Dashboard.

Find the Blended Effective Cost card
It shows what you pay after contract rates, commitments, and credits.

Start with one provider and model. Add more sheets as you go.

Owner and dates
Every sheet has an owner and a window.

Preview before you approve
The last step compares retail and contracted cost on your usage so far this month, so you see the effect before anything changes.

Compare the percentage with the discount you negotiated. If they are far apart, check the rates and the model name before you save.

Approve it
Saved sheets appear under Contract price sheets. An owner or admin approves a sheet to put it into use.

Track commitments and credits
Use Log commitment on the same card to record a dollar commitment against the agreement.

A commitment marked as a credit pool applies to the Dashboard's blended cost while it is active. Other commitments are kept for reference.

Keep rates current
A contract ends, and a renewal has new rates. The Dashboard helps you stay ahead of it.

Watch for expiry
Contract rates that are about to expire appear in the Dashboard's action list.

Add the renewal as a new sheet
Start it the day the old one ends, so there is no gap.

Fix missing rates
The cards name models that have usage but no contract rate.

If something goes wrong
Most problems are dates or approval.
